To allow parents to sign up for parent teacher conferences, you will use the Event/Volunteering/Signups function. Setting up the first event representing a day of conferences will take a few minutes. But after that, you can copy this event to other homerooms easily.
First, navigate to the homeroom for which you want to schedule the parent/teacher conferences. Then follow these steps to create the event:
- Start a new event by clicking the "+ Add Event" button above the Events section (you have to have sufficient permissions to do so)
- Fill in the name (perhaps with "Parent/Teacher Conferences") and the description.
- Enter in the start date/time to be when you want to have the first conference start (typically at the start of the day)
- Enter in the end date/time to be when you want the last conference to end (typically at the end of the day)
- Click the Create button to save the Event
Now you will need to add the volunteer opportunities/sign ups that represent each conference slot. Follow these steps to do so:
- If you just completed the steps above, click the blue Add Signups button. (if you do not see that button click the icon that looks like a piece of paper on the right side of where the event is listed)
- You will see places to add Donate Time and Donate Stuff. For parent teacher conferences, we are only concerned with donating/scheduling time.
- Click the "+ Add Time Opportunity/Sign Up" button to display the New Time Opportunity/Sign Up form
- Add a Title and Description that are generic, i.e. Parent/Teacher Conference. You don't want to include information specific to the homeroom or teacher here, so the event can be more easily copied to other homerooms.
- Adjust the start time (if needed) to be the beginning of the first conference.
- Adjust the end time to be the end of the first conference. Depending on the length of your conferences, you may have to do this by clicking into the field and manually entering the time.
- Enter in a minimum of 1 signup, and a maximum of 1 sign up.
- Click the Create button to save the Signup
- Repeat this process for each of the slots for the day, where the last one's end date matches the date/time you entered for the end date of the event.
Once you have setup all of the slots, you can copy this event to other homerooms or you can send notifications to the parents about the conferences so they can begin signing up.
